Tasks/responsibilities

You will be working for managers and executives in collaboration with an internal Personal Assistant,
you will be in continuous contact with six executives and your key role is to free-up the executives time from organising and administrative tasks so that they can spend maximum time on strategic tasks.

Acting as second point of contact: dealing with correspondence and phone calls
Managing diaries and organising meetings and appointments, often controlling access to the manager/executive
Mooking and arranging travel, transport and accommodation
Minutes taking and prepare/review PowerPoint presentations
Manage office supplies
Organising events and conferences
Reminding the manager/executive of important tasks and deadlines
Liaising with staff
Collating and filing expenses
Miscellaneous tasks to support their manager, which will vary according to the sector and to the manager’s remit, eg completing some corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) or conducting research

Qualifications/required skills

Fluency in both spoken and written English. French and/or German would be an asset
Discretion and trustworthiness: you will often be party of confidential information
Flexibility and adaptability
Good oral and written communication skills
Organisational skills and the ability to multitask
The ability to be proactive and take the initiative
Previous experience in a similar function in the financial sector is an asset
Accuracy, flexibility and ability to work independently
Familiarity with MS Office suite (Word, Excel, PowerPoint, outlook), sharepoint, Skype for Business and Skype conferencing
